Pre-sets are lists of pre-configured tasks with pre-defined deadlines that have been saved in your system. You can add a pre-set task list to a case so that you can see what actions and reminders are related to the case and keep on top of deadlines. 

The deadlines for pre-set tasks are calculated from dates recorded on your case. Users will be prompted to run pre-sets when a new date is recorded in the case Details.  


At the top of the case Details screen of your case is a box with a red banner. This lists any outstanding pre-sets and prompts users to add them to the case.

The Outstanding pre-sets box contains this information:

Pre-set NameThe pre-set name. Displayed in blue text.
NumberThe number of tasks within the pre-set
DiscardLets you dismiss the prompt to run the pre-set. Displayed in a red box.

Review/Add the Pre-set

To review a pre-set and add it to the case:

  1. Click on the pre-set name

  2. This opens the Add Task  screen. This screen gives an overview of the pre-set details  

  3. If all details are correct, click the Proceed button on the top right of the screen

  4. If you need to edit any task details, you can edit the following details on this page:

    • Tick the box on the left of a task to Ignore and prevent tasks being created (if needed)

    • Edit the task Description (if needed)

    • Assign the tasks to a User. The tasks will automatically be assigned yourself or a case user depending on the pre-set configuration.
      Note: You can assign all tasks to one user using the ‘Set all users to’ dropdown menu at the bottom of the screen. 

  5. Click Proceed to create the tasks.

  6. You'll be taken to the Task tab of the case where the new tasks will be visible
    OR

  7. Click Back to Tasks. This will exit the pre-set option and direct you to the Tasks tab. 
    OR

  8. Click Back to Pre-set. This will exit the pre-set option and return you to the Details tab.

Dismiss the Pre-set

To dismiss an outstanding pre-set

  1. Click the red Discard link on the right of the Outstanding Pre-sets box

  2. Click Update

Note: The prompt will be removed immediately. If you accidentally remove a pre-set prompt you can add it from the 'Tasks' tab. See ‘Manually Add a Pre-set’ for more information.
