The ‘Mailing Lists’ functionality within Equinox enables users to generate CSV, Excel and PDF files containing your contacts’ details for mailing campaigns. 


An export can be used to import your contacts’ details into your email software to send out a mass email or generate letters in Word via the mail merge option.


To access the Mailing Lists option go to the Address Book > Click on Mailing Lists.

 

The following tabs are available:


Mailing Lists

This tab enables users to choose which contact information to export, based on mailing list types.


Note: People within the Address Book will only be included within a Mailing List if they have been added to the mailing list within the Personal Details. Please see ‘People Details’ for more information.


1. Select the Type of Contact

The table below lists the options in the Mailing Lists Type:


Option

Description

Xmas

This includes all People that are added to the Christmas Mailing List.

Newsletter

This includes all People that are added to the Newsletter Mailing List.

Email List

This includes all People that are added to the Email List Mailing List.

All Clients With Labels

This includes all People that are added to at least one type of Mailing List, with columns to indicate which Mailing Lists each contact is part of.

All Clients And Labels

This includes all People within the Address Book regardless of whether they are enabled for any Mailing Lists, with columns to indicate which Mailing Lists each contact is part of.

 

2. Choose the format of the Export

The options available are PDF, Excel or CSV.


Click ‘Export’.


When the mailing list is exported, the following columns are included in the export:

xmascard

This indicates if the contact is part of the Xmas Mailing List.

newsletter

This indicates if the contact is part of the News Letter Mailing List.

emailinglist

This indicates if the contact is part of the Email Mailing List.

name

This pulls through the Address Name of the contact.

email

This pulls through the email of the contact.

address

This pulls through the Full Address of the contact.

organisation

This pulls through the name of the Organisation the contact is part of. (This is only visible on the ‘All Clients and Labels’ mailing type export). 

 

3. View the Contact Information

The Contact Email List displays a list of all contacts’ emails separated by a semi colon.


The Contact List displays the Name, Email, and Address of the contacts.


All Contacts

This tab enables users to export contact information for Clients and Foreign Associates.




1. Select the Type of Contact

The table below lists the options in the Type of Contact:

Clients

This includes a list of all People that are at any Client Organisations.

Clients (No Foreign Associates)

This includes a list of all People that are Client Organisations, excluding contacts that are also Foreign Associates.

Foreign Associates

This includes a list of all People that are at any Foreign Associate Organisations.

 

2. Choose the format of the Export

The options available are PDF, Excel or CSV.


Click ‘Export’.


When the mailing list is exported, the following columns are included in the export:

This pulls through the Address Name of the contact.

Email1

This pulls through the email of the contact.

phone1

This pulls through the phone number of the contact

organisation

This pulls through the name of the Organisation the contact is part of. 

address

This pulls through the Full Address of the contact.

postcode

This pulls through the post code of the address.

country

This pulls through the country of the address.

 

3. View the Contact Information

The Contact List displays the Name, Email, and Address of the contacts.
