This article explains how to configure the renewal notice settings for your system.

Prerequisites

To configure the renewal notice settings for your system, you must:

When renewals are generated, tasks will be created on the case that correspond with the Notice Settings defined in this section. The tasks will have the due date set based on the rules you input and will have the specified template linked.

How to create a notice rule

To create a notice rule:

  1. Go to Renewals > Notice Settings

  2. Use the Create Notice Template option in the top right – see the table below for a full list of fields.

  3. Click the green Update button to add your notice rule,



Field NameField Description
NameThe name of your renewal notice, e.g., ‘Patent 1st Reminder’. This will be included in the task name that generates with the notice attached.
TemplateThe template that is used for the notice. Only smart templates using renewals merge codes will be available to select. 
Client Portal TemplateThis relates to future functionality and is not yet operational.
Use in GraceIf checked, this template will only be scheduled when a renewal has moved into the grace period.
Based on Grace DateIf checked, the renewal notice date will be calculated from the renewal due date including the grace period. This is to be used in conjunction with the ‘Use in Grace’ setting above.
OffsetDetermines the due date for the renewal notice. For example, setting an offset of – 2 months would mean the renewal notice is due 2 months before the renewal due date. If the ‘Based on Grace Date’ setting is used, this would be 2 months before the end of the grace period.
Case CategoryThe case category that the renewal notice is used for. If this is set to a specific category, the renewal notice will only generate on the specific type of case. If set to 'All', the renewal notice will generate for renewals across all case categories.

Sending multiple notices for a renewal

If you send multiple notices for each renewal, you should create an entry for each notice that is sent. 

In the example below, there are 3 notices scheduled for Patent cases. The first notice is due 4 months before the due date, the second notice is due 2 months before the due date, and the third notice will only generate in the grace period, 2 months before the due date including the grace period.
