This article explains how to process renewal instructions in Equinox.

Types of renewal instructions

There are 5 instructions available for a renewal in Equinox. These are:

  • Ignore for Now

  • Renew

  • Abandon

  • Managed by Others

  • Allow to Lapse

Ignore for Now is the default renewal instruction that is stored against a due date when it's created. This means that an instruction has not yet been given

Note – You can disable the 'Managed by Others' and 'Allow to Lapse' instructions within 'Renewals > Settings' if you don't wish to use them. 

Setting an instruction to Renew

When a due date has the Renew instruction entered, the next step in the renewals flow is to process the charges onto the case - for further information, see Processing Charges.

Note: No additional tasks or pre-sets are triggered on the case when a Renew instruction is entered. 

The instruction you've entered will be available in renewals reporting. You can use this to create reports, e.g., a report listing all cases set to Renew in the last week, filterable by their renewal responsible value. As an example, this could be used as an internal list of renewals to be processed, or to be sent to associates for handling. 

Setting an instruction to Abandon

When a due date has the Abandon instruction entered, you can't proceed with the remaining steps of processing the charges or marking the renewal as complete.

A pre-set prompt will be added to the case, based on the pre-set you have linked to the Abandon Action setting in Renewals > Settings. This would typically contain any tasks you have relating to your internal process for abandoning renewals. 

Setting an instruction to Managed by Others

When a due date has the Managed by Others instruction entered, you can't proceed with the remaining steps of processing the charges or marking the renewal as complete.

A pre-set prompt will be added to the case, based on the pre-set you have linked to the Managed by Others setting in Renewals > Settings. This would typically contain any tasks you have relating to your internal process for renewals being managed by others.

Setting an instruction to Allow to Lapse

When a due date has the Allow to Lapse instruction entered, you can't proceed with the remaining steps of processing the charges or marking the renewal as complete.

A pre-set prompt will be added to the case, based on the pre-set you have linked to the Lapse Action setting in Renewals > Settings. This would typically contain any tasks you have relating to your internal process for renewals being allowed to lapse.

Processing instructions on an individual due date

You should enter instructions on the individual renewal due date page in these cases:

  • An individual case notice was sent 

  • No notice was sent at all

 To do this:

  1. Click Enter Instruction in the Instruction box in the progress bar.

  1. This will display a pop-up allowing you to select and save the instruction:

  1. When saved, the renewal due date will update to show the entered instruction as below: 

 

Processing instructions for a combined notice

It's possible to process the instructions for a combined notice together, rather than on a case-by-case basis (although this is still supported). 

To do this:

  1. Go to Process Client Instructions in the main system Renewals tab. 

    Note: This section lists all combined renewal notices that have been sent, but which still have instructions outstanding on some or all of the due dates included in the notice.

  1. Click on the Process button on the right-hand side of the corresponding notice. This lets you enter instructions for a notice.

  1. Use the Batch Details block at the bottom to input the instruction for each of the cases included in the notice.

  2. Click Confirm Process to submit the instructions.

Note: If you've only received instructions for some of the due dates, you can enter those and leave the remaining due dates as ‘Ignore For Now’. You can then return to the processing page for the notice later and input any remaining instructions.  

What happens if I input the wrong instruction?

If the instruction has been input incorrectly, this can be amended on the due date page. To do this:

  1. Click the Edit button on the Details block 

  2. Change the Instruction dropdown to the correct value (e.g., Abandoned)

  3. Click Update
