Information on the renewal due date page

The Renewal Due Date page displays all information relating to a renewal. It is also used to carry out certain actions relating to the renewal, such as:

  • Generating quotes and processing charges

  • Entering instructions

  • Completing renewals


Where to find the renewal due date page

You can access the renewal due date page by:

  • Navigating to a case and clicking on the Renewals tab

  • Navigating to the system Renewals section, clicking Renewal Due Dates, and then clicking Edit on a renewal

  • Clicking on the Year hyperlink in a renewals report created in the report generator 

Where there are multiple Equinox renewal due dates for a case, these will appear as tabs across the top of the due date page.

The sections of the renewal due date page are:

  • Case Details

  • Charges

  • Dates 

  • History

Here's a summary of the different sections of the renewal due date page:

Progress Bar

Across the top of the page, a progress bar shows the steps required for the renewal process, with the step turning green when it is completed on Equinox. When completed, the steps also show the date  on which the action was completed.

The steps in the progress bar are:

 The Details block contains key information relating to the renewal.

InstructionThe instruction of the renewal
CompletedYes/No - whether the renewal has been completed
NotesNotes related to this specific renewal due date. Any notes saved here are visible within the due date page, and also in renewals reports

Dependent on user permissions, the above details can be edited via the Edit button in the Details block header.

Case Details

The Case Details block provides a quick summary of key case information.

The Notes field lets you store notes relating to renewals for the case in general, rather than just this specific renewal due date. These notes will display on all renewal due dates for this case.

Charges

This block lists any charges associated with the renewal due date. 


It's possible to add additional charges manually via the Add Charges option in the Charges block header - see Adding Charges

The Force Process Charges option lets you convert quotes to case charges before the instruction has been entered. This may be used for requesting payment in advance. For more information on processing charges, see Processing Charges.

The block header also contains the total of the charges for this renewal due date.

Dates

The Dates block displays key dates relating to the renewal.

Cost DateThe date the costs/quotes were added to the renewal
Instructed DateThe date the renewal instruction was entered
Charges Processed DateThe date the renewal costs were processed and converted to charges
Confirmed DateThe date the renewal has been confirmed
Moved On DateThe date the renewal has been moved on and the next renewal date

History

The History block displays a log of actions that have been completed relating to the renewal. It stores the field or property that has been updated, the value before and after, the user who completed the action, and the date and time of the action.

Next Renewal

The Next Renewal block displays a list of the future upcoming renewal due dates for the case.

Note: Equinox only supports one active due date at a time, so each subsequent due date is generated at the point the previous due date is completed.
